We know orthodontic treatment is a big investment, and we want to say thank you for choosing us! From payment questions to insurance policy changes, we are here to help every step of the way. Once you're a patient at Newell Orthodontics, you're part of our Newell family and we're excited to partner with you on your journey to a confident and beautiful smile!

Why Your New Patient Forms Matter

We use a management system called OrthoFi to manage your insurance and financial details. Filling out your OrthoFi online forms at least 1 week before your appointment allows us to:

  • Verify that your insurance policy is active
  • Estimate your orthodontic coverage
  • Check for age restrictions
  • Identify waiting periods
  • See if a pre-determination is required

We typically receive this verification from OrthoFi 1-3 days before your visit. This information will be reviewed with you during your consultation.

A Few Key Things to Know About Orthodontic Insurance at Our Practice

  • We are not in-network with any insurance providers, but don't worry! Many plans offer the same orthodontic benefits whether you're in or out-of-network.
  • We cannot file claims with Medicaid, Traditional Medicare, Medi-Share or Medical Insurance plans, even if your treatment is due to an accident or medical condition.

After Your New Patient Consultation

If treatment is recommended at your new patient consultation, and you have active orthodontic coverage, we will estimate your insurance coverage based on our initial verification.We will then submit a pre-determination to your insurance carrier with details of your treatment plan to get confirmation of coverage and your benefit amount. It typically takes 6-8 weeks (sometimes longer) to receive a response from the insurance company, however, unless your policy requires this step prior to beginning treatment, you can start treatment right away. Once we hear back from your insurance company, we will make any necessary adjustments with you.

When Does Insurance Start Paying?

  • Only after active orthodontic treatment begins (e.g., when braces, aligners & appliances that move teeth are placed)
  • Consultations, growth monitoring, retainers, pre-treatment records and space maintaining appliances are not typically covered by insurance
  • Insurance payments are made in installments (monthly, quarterly, semi-annually or annually) over the course of treatment

*IMPORTANT* Your insurance policy must remain active throughout treatment to receive your full benefit. If you stop paying your premiums or cancel your policy, your insurance company will not pay the full amount and you will be responsible for any balance.

If Your Insurance Changes During Treatment

If your insurance coverage changes or ends during treatment, you will be responsible for any unpaid balance. If you know changes are coming, please reach out to us so that we can discuss your options. If you add coverage mid-treatment, it likely won't cover treatment started before the policy began, but let us know! We will always check to see if any benefits can be applied.

Payment & Financing Options

We offer flexible payment & financing options to make your treatment attainable:

  • Payment via cash, check, ACH and all major credit cards
  • Paid-in-full and family discounts
  • Interest-free payment plans and extended payment options
  • Documentation, as requested, for HSA, FSA and FLEX accounts
  • We do not accept CareCredit, however, we do accept the CareCredit Mastercard
